Almost every contractor has been here: a GC says "send me a COI by tomorrow morning or you’re off the job." If you don’t know how COIs work, you panic. Here’s the playbook so you never panic again.
What a COI Actually Is
A Certificate of Insurance is a one-page summary of your insurance policy. It is NOT the policy itself — it’s proof that the policy exists, with limits and effective dates listed. The standard form is the ACORD 25.
What an "Additional Insured" Means
When a GC asks to be listed as an "Additional Insured," they’re asking for an endorsement that gives them protection under YOUR policy for claims arising from YOUR work on their job. This is a formal change to the policy — not just a checkbox on the COI.
Why Some COIs Take 5 Minutes and Some Take 5 Days
- Same-day: Standard COI listing the certificate holder (GC) as a recipient only
- Same-day: Additional Insured endorsement on a "blanket" policy (most modern GL policies)
- Several days: Additional Insured endorsement that requires manual underwriting
- Days to weeks: Waiver of subrogation, primary/non-contributory, or per-project endorsements
How to Get a COI Same-Day
- Call your agent (don’t email — email goes to a queue)
- Have ready: the certificate holder’s exact name, address, and project info
- Ask if Additional Insured + Waiver of Subrogation are on a "blanket" basis
- Confirm your policy is paid current (lapsed policies cannot issue COIs)
